About the role

The executive assistant is a key support role within our Governance & Assurance team, providing high-level executive support to the Chief Assurance Officer (CAO), to ensure smooth operations and effective decision-making. This position is a unique opportunity to work closely with the Chief Assurance Officer to manage priorities in a fast-paced environment, support maintenance of organisation registers, take on key project work within the scope of the role, and handle sensitive information with professionalism and discretion.

Key responsibilities include but are not limited to:

  • organising schedules, appointments, and maintaining updated contact lists
  • drafting and formatting correspondence, reports, presentations, and other materials as required ensuring proper documentation and filing in accordance with organisational record-keeping policies, including both digital and physical records
  • exercising a high level of discretion and sound judgment when handling confidential information, sensitive communications, and decisions
  • preparing and distributing agendas for CAO-led meetings
  • recording and maintaining meeting minutes as required
  • taking on projects to support the CAO as required

About you

To be considered for this rewarding role you will have:

  • highly developed person-centred communication skills
  • excellent communication skills, both verbal and written, including presentation skills
  • highly developed analytical, problem solving, and numerical skills including the ability to compile, analyse data and prepare reports
  • a demonstrated high level of attention to detail with a consistent approach
  • a demonstrated ability to prioritise conflicting priorities as required
  • ability to work under minimal supervision with the capacity to exercise initiative in the application of work processes and procedures and establish objectives and outcomes
  • high level organisational, administrative and project management skills
  • a proven ability to think critically and approach challenges with innovation

Role requirements

  • certificate IV in Business Administration or similar (desirable)
  • minimum of 2 years’ experience in a high-level administration/secretarial position
  • occasional out of hours work may be required from time to time
  • travel to selectability sites may be required from time to time
  • a Child Safety & Personal History Screening check
  • a Positive Notice Working with Children (blue card) (or the ability to obtain)
  • NDIS Worker Screening Clearance (or the ability to obtain)
  • NDIS Worker Orientation Module "Quality, Safety & You" completion certificate (or the ability to obtain)
  • a current minimum P1 "C" class Queensland drivers licence
